How to book temporary care staff: a practical checklist
This guide is for care managers and coordinators planning a shift request. It does not replace employer, provider or regulatory requirements.
1. Define the shift before searching
Record start and finish time, exact postcode, care environment, expected duties, breaks, uniform or PPE requirements, and any enhanced skills required.
2. Specify the worker profile
Identify relevant care experience and role-specific training. For domiciliary shifts, include driving, access to a vehicle, expected travel and appropriate insurance checks.
3. Review checks and records
Verify identity and right to work, relevant references and DBS suitability according to the role. Confirm training currency, competence and any restrictions. The care provider should fulfil its own safe recruitment and induction responsibilities.
4. Review applicants and approve deliberately
Use Nurtura’s digital approvals to review applications, make a decision and communicate the confirmed shift. Watch the application approval demonstration.
5. Prepare a safe handover
Give the temporary worker the service’s contact details, escalation routes, key policies, specific care plans where appropriate and information needed for safe work. Keep personal data protected.
6. Keep an audit trail
Record confirmed attendance and timesheets, and resolve queries promptly. Repeated bookings should still be checked for current suitability.
